Using View-Only Access in SiteOwl

With View Only access, you can follow the progress of your projects, review design work, and see real-time installation updates — all in one place. You’ll only see the projects you’ve been invited to, giving you a clear view of the details that matter most. Below are the most common uses of View Only access to SiteOwl and how to navigate through them. 

View design work by project

Stay aligned on designs by seeing exactly what has been planned for each project, down to the device level.

1. From the left-hand menu, click Design.
2. You’ll see all projects currently in the design phase that you’ve been granted access to.
3. Expand a project card by clicking the arrow next to the project name.
4. Select a plan to open it
5. Click on device pins (including secondary devices) to see:
   • Device information
   • Associated notes
   • Linked photos
6. Clicking on the filter icon (funnel symbol in the bottom right) allows you to view: 
   • Installation status
   • Operational status
   • Coverage area visibility
   • Abbreviated names or part numbers
      

Find devices faster

Quickly confirm the location or details of a specific device without digging through multiple floorplans.

1. Use the search bar (top left) to find any device across projects or existing infrastructure. 
2. Search by device name, part number, MAC address, IP address, or other identifiers. Clicking on that device name will bring you to that exact device on the floor plan. 
    

Track installation progress

Validate project progress and see where devices are installed, tested, or pending work — all without waiting for status reports.

1. From the left-hand menu, choose Installation Projects.
2. Expand a project card by clicking the arrow next to the project name.
3. Review installation and operational status across buildings and plans. For installation status, Red devices are Planned or yet to be installed, Yellow devices are In Progress, and Blue devices are Installed. Operational status colors follow the same pattern. You can toggle between the two from the filters menu on the right side. 
4. Click into a device on the plan to view details such as:
   • Technical specifications
   • Installation status
   • Operational status
   • Field photos
5. Overall Progress can be seen by choosing the Project Progress tab from the Information screen on the project. '
6. Clicking on the filter icon (funnel symbol in the bottom right) allows you to view: 
   • Installation status
   • Operational status
   • Coverage area visibility
   • Abbreviated names or part numbers
      

Generate reports for stakeholders

Share clear, professional documentation with internal teams or stakeholders to keep everyone informed.

1. From a project card on the home screen, click the Information button.
2. Navigate to the Parts List or Reports tabs.
3. Generate PDF reports such as:
   • Project overview
   • Photo reports
   • Multi-floor plan reports
