Whether you're onboarding a new team member or bringing on a partner for a project, adding users to your Headquarters gives them access to exactly what they need in SiteOwl.
In this article, you'll learn how to invite new users and what to expect once they've been invited.
Note: Only users with HQ Administrator permissions can invite new users. If you don't see the option to invite users, reach out to your organization's administrator.
Adding a User

Go to Users . Navigate to siteowl.app/users, or select Users from the left-hand sidebar.

Click + Invite User in the top-right corner.
- Enter the user's name and email. Fill in their Full Name and Email address
- Inviting more than one person? Click + Add Another User to add additional rows.
- Select a user role. Available roles vary depending on your user type (Security Team or Integrator), so you'll only see the roles relevant to your account.
Business User
- HQ Administrator: Full administrative access to headquarters settings, users, and projects. Can invite users, add Accounts and is automatically added to every Account in the Headquarters. In Accounts, can be assigned to Account Administrator as the highest role.
- HQ Coordinator: Coordinates projects and manages team members across headquarters operations. Can manage users by adding HQ users to Accounts, add Accounts and is automatically added to every Account in the Headquarters. In Accounts, can be assigned to Account Administrator as the highest role.
- HQ Staff Member: General staff access with permissions to contribute to headquarters activities and work in Accounts. Can access assigned accounts and be a Manager in those accounts. In Accounts, can be assigned to Account Administrator as the highest role.
Technician User
- HQ Technician: Technical specialist with access to device management and technical documentation. Can access assigned Accounts. In Accounts, can be assigned to Lead Technician as the highest role.
End User
- End User (View Only): View-only access to assigned Accounts, Projects, and Sites. In Accounts, can be assigned to view-only as the highest role.
Subcontractor User
- Subcontractor: External contractor with limited access to specific projects and tasks. In Accounts, can be assigned to Lead Technician as the highest role.
- Click Invite User to send the invitation.
What Happens After You Invite Someone
Once invited, the user shows up in your Headquarters Users list with a status of Invited, and their role dropdown stays disabled until they accept.
If someone's being added to another Headquarters, they'll need to accept the invite before they can see the accounts and projects tied to that Headquarters. Their status stays Invited until they do.
Didn't get the invite email? Have them check their spam or junk folder first. If it still doesn't turn up, an Administrator can resend the invite from the Users list by selecting the ••• menu next to their name.
A Few Things to Know
- Email is tied to name by design, for security purposes. You can edit this pairing at the time you create the user.
- Need to change a user's email or name? Don't edit an existing user's identity. Instead, remove the user and add a new one. Removing a user doesn't delete any of the data associated with them.
- Want to track someone without fully removing them? Inactivate the user instead. This keeps their history intact while marking them as no longer active.
